Duties of the Administrative Assistant

 

Administrative Assistant Duties July 20 2001

1. Membership

- Upkeep of membership data — Clubmate Software and distribution to membership

- Semi and Annual reports to RI and District Governor

- Reporting of new members and terminated members to RI and District Governor

- Accepted new proposal names for publication in bulletin with classification

- New proposal letter of acceptance to new member & sponsor

- New member packages for induction

- Collection of annual dues and new members’ dues

- Yearly membership cards

- Name badges

- Membership address/e-mail changes to RI District Governor and Bulletin Editor.

2. Attendance

- Weekly attendance including make-ups and special considerations (fellowship events, committee work)

- Monthly attendance to district for newsletter

- six month and year end attendance information distributed to members.

- Tracking of Leave of Absence Members

3. Other

- Weekly collection of mail from P0 Box, with distribution of same

- Payment of bills for Rotary

- coding of all cheque stubs for Treasurer

- Weekly collection of happy bucks, draw and fine monies from weekly meetings

- depositing of all monies

- coding of deposits for Treasurer

- End of month — cheque stubs, deposits, bank statements delivered to treasurer.

- Maintenance and filing of all correspondence and reports, project and committee files

- Ordering of club supplies and stationery

- Preparation and invoicing for bulletin advertising

- Attendance at regular club meeting and Board meetings.
